Industry Deployment Packages

Once you acquire your records software for Microsoft SharePoint, the path to achieve full recordkeeping compliance in SharePoint is a long, complex, and costly road.

Ensuring Successful, Compliant Deployment

An Industry Deployment Package (IDP) is a ready to deploy SharePoint-based EDRMS solution for a specified industry such as municipalities, police forces, universities, water utility companies, electrical utilities, etc. Shrink your deployment time from years to days. An IDP consists of the following three main core components:

  • Retention Schedule

  • SharePoint Information Architecture

  • Catalyst Import Application

Everything you need to go from zero to hero in record time! To deploy a fully functional EDRMS in record time only two things are needed in addition to this IDP:

  1. Electronic recordkeeping software for SharePoint, such as Gimmal Records Manager, Collabware CLM, AvePoint Opus, RecordPoint R365, or Microsoft Purview.

  2. Adjust the SharePoint information architecture to suit. Remove record categories not needed, customize drop-down lists to suit the particulars of the organization.

With an IDP you get a standardized Retention Schedule and SharePoint IA for use within that industry. You simply adjust the retention schedule by removing elements not applicable, customize the SharePoint IA for your organization, then immediately deploy to SharePoint. The work is greatly reduced, as shown:

Municipal IDP

Our first IDP (Industry Deployment Package) will soon be released, for Municipalities. This IDP contains a standardized Municipal Retention Schedule and SharePoint IA for any municipality, small or large. You simply adjust the retention schedule by removing elements not applicable, then immediately deploying. The retention schedule contains contains 2,000+ business activities found in most municipalities in North America. These activities are applicable to the following levels of municipal government:

                             Consolidated city-counties

                             Special Districts

 

Canada                                                               

                             Municipal (cities, towns, villages, parishes, rural municipalities, townships, hamlets)

If adjustments to the retention schedule and SharePoint IA are minimal, cost will be very low. Final/actual cost will depend upon the following factors:

  • The number of categories/activities that have to be removed from the retention schedule

  • The number of metadata list need to be tailored to the specific municipality

  • The brand of the records software. Some require more work to load the retention schedule than others.

 

Either way, an IDP deployment be significantly faster and cheaper than deployment costs of a EDRMS from scratch. Instead of interviewing business units and defining the retention schedule and IA from scratch, the work involved in an IDP deployment is just a small fraction of the work to deploy from scratch.
